Job Description

GENERAL PURPOSE:
Provides general administrative support services to the school and prioritizes duties as to accommodate parents/public, students, educators, and phone calls in a pleasant manner. Also provides general support for staff and performs additional duties as assigned by the Superintendent and/or Deputy Superintendent

PROFESSIONAL RESPONSIBILITIES:

• Demonstrates and creates a positive, professional and courteous client service to all staff, students and public
• Answers and transfers incoming calls; taking messages in a professional manner
• Provides the public with information about our school
• Implements and creates marketing ideas through events and school projects
• Maintains misc. logs such as: staff sign-out, volunteers, visitors, etc.
• Assigns and labels mailboxes as needed for all staff
• Assist with the coordination of school tours and orientation sessions for families and community members
• May assist with maintaining contact with current and prospective vendors
• Assisting substitute teachers to appropriate classrooms
• Provides information to parents about the school’s procedures and instructional programs
• Works closely with and collaborates with teachers and staff to create a positive learning environment
• Provides translations of school forms and other documents as needed
• Assisting other office staff with additional duties as needed
• Receive and distribute mail to appropriate staff
• May assist in the purchasing and replenishing of classroom/office supplies
• Making and distributing copies to staff and students
• Following additional duties as outlined by the Superintendent and/or Deputy Superintendent

KNOWLEDGE AND SKILLS:

• Ability to keep records and office space organized and easily accessible
• Ability to follow through in a timely manner
• Knowledge of software programs
• Considerable knowledge of and ability to perform office management duties, practices and procedures
• Considerable skills in teaching others to safely operate office machines and equipment
• Excellent communication skills and ability to communicate effectively both orally and in writing to members of the public, community, staff, students, and administration
• Excellent interpersonal skills and the ability to deal with a variety of personality types and dispositions in numerous circumstances while maintaining a controlled, tactful, respectful, professional manner
• Excellent team player skills with positive attitude
• Ability to remain calm in an emergency
• Ability to think clearly in any situation, determine priorities, and handle multiple tasks
• Ability to make appropriate decisions quickly
• Willingness to show initiative in problem solving and team goal achievements

Qualifications

• Self-starter who takes initiatives, works well independently as well as with multi-tasking
• High school diploma or GED, college degree preferred but not required
• Experience working with various aspects of office administration and customer service
• Demonstrates quick decision-making, problem-solving skills and resourcefulness
• Ability to relate effectively with people of diverse cultural and economic backgrounds
• Ability to communicate effectively both in verbal and written Hmong
