Job Description

Position Summary: The Business Manager/HR coordinator responds to employees, parents, and visitors of the Twin Cities German Immersion School with professional, efficient and friendly assistance; provides coordination and support to all business and HR operations of the school, serves as board secretary

Job Duties:
Business Management
Manages and coordinates accounts payable and accounts receivable process with contracted accounting firm.
Responsible for ordering, tracking, coding, inventorying, and delivering office/school purchases.
In collaboration with Executive Director manage contracts & renewals for third party services.


HR Coordinator:

Ensure all new staff have completed required new hire paperwork.
Compiles and maintains employee files
Updates and maintains Employee Handbook and union contract.
Represents TCGIS administration in contract negotiations.
Oversees management of employee benefits (health, dental, life & disability insurance, PTO, worker’s compensation, voluntary benefits)
PTO tracking
Assists in processing payroll reports on a bi-weekly basis
Under direction of Executive Director, maintains group insurance rosters, employee changes, etc.
Manages staff requisitions and reimbursements.
Coordinates new hire photos and badges

Substitutes Management
Leads substitute procurement, scheduling, and daily placement processes.
Coordinate with Teachers on Call to meet daily sub needs
Collaborating with teachers and EAs on daily unfilled sub needs

Administrative assistant to TCGIS Board of Directors

Assemble and disseminate materials for Board meetings.
Prepare monthly staffing report for Board meetings.
Attend Board meetings and take notes for minutes.

Qualifications

Minimum one year experience in a secretarial/office or Business/HR coordinating coordination position
Positive, enthusiastic attitude and commitment to customer service
Strong organizational & communications skills
Excellent interpersonal skills
Ability to multitask and prioritize
Computer knowledge – proficient with Word, Excel, PowerPoint, etc.
Ability to learn quickly and be flexible
Able to work well in a fast-paced dynamic atmosphere
German proficiency preferred, but not required
